Privacy Policy

Kites Development connects our clients' Odoo systems to WhatsApp. We only process WhatsApp data on behalf of the business that connects its number, and only to run that connection.

For WhatsApp data, the business that connects its number (our client) decides what is collected and why. We act as its service provider.

What this policy covers

Our WhatsApp integration for Odoo, which uses Meta's WhatsApp Business Platform (Cloud API). A business can connect a WhatsApp Business number, including one that is still used in the WhatsApp Business app on a phone.

Data we handle

When a business connects its number, the integration handles:

• Business account details: WhatsApp Business Account ID, phone number ID, display phone number, business name and the access token Meta issues.
• Messages: the text and media (images, documents, audio, video) of messages exchanged between the business and its customers, with sender, recipient, time and delivery status.
• Contacts: names and phone numbers from the business's WhatsApp Business app contact list, if the business syncs them.
• Chat history: up to 180 days of past messages, only if the business chooses to share its history during connection.
• Connection events: notices from Meta, for example when the business disconnects the number.

We do not collect payment card data through WhatsApp, and we do not use this data for advertising.

How the data is used

Only to provide the service the business asked for:

• show WhatsApp conversations in the business's Odoo, next to its customers and invoices;
• send messages, invoices and approved templates that the business chooses to send;
• keep the business's contacts and chat history in sync with its phone;
• detect disconnections and errors, and alert the business's administrators.

Where the data is stored

In the client's own Odoo database, on the server that runs that client's Odoo. Access tokens and app secrets are stored in fields only administrators can read, and are never written to logs.

Sharing

• Meta Platforms: messages are sent and received through Meta's WhatsApp Business Platform, under Meta's own terms and privacy policy.
• Hosting providers: the servers that run our clients' Odoo systems, bound by confidentiality and security obligations.
• Nobody else, unless the law requires it.

We do not sell personal data.

How long we keep it

For as long as the business uses the integration. When a business disconnects its number or ends its contract, we stop receiving new data. Data already in its Odoo is kept or deleted according to the business's instructions, and within 30 days of a deletion request.

Security

Connections use HTTPS. Every message from Meta is checked against a signature before it is accepted. Access to each Odoo system is limited to that client's users and to our staff who operate it.

Your rights

If you are a customer who chatted with one of our clients, contact that business first: it controls your data. You can also write to us at [email protected] and we will pass your request on and help carry it out. Depending on where you live, you may have the right to access, correct or delete your data, and to complain to your data protection authority.

Data deletion instructions

To delete data handled through our WhatsApp integration:

1. Businesses: disconnect the number in the WhatsApp Business app (Settings → Account → Business Platform → Disconnect), then email [email protected] from your account email asking for deletion. We delete the connection details and WhatsApp data within 30 days and confirm by email.
2. Individuals: email [email protected] with the phone number you used on WhatsApp and the business you chatted with. We verify the request with that business and delete your data within 30 days.
