When one client’s file lives in five places
The client’s details sit in the CRM, the contract in a shared drive, the signed copy in someone’s email and the invoice in the accounting system. When a renewal comes up, someone has to piece it all together.
Approvals happen in email threads, so nobody can show who approved a discount or a payment, or when. Lawyers fill in timesheets on Friday from memory, and some hours never get billed.
Odoo keeps the client, the contract, the documents, the approvals and the invoices on linked records, so the history of an account is one click away.
How Odoo handles it
Most of this is standard Odoo. Subscriptions, Documents, Sign and Approvals need Odoo Enterprise.
Pipeline and client records
Leads, meetings and proposals in CRM, with each client’s contacts, emails and history on one record.
Contracts and subscriptions
Recurring contracts with start and end dates, an invoice created each period, and a list of contracts coming up for renewal.
Electronic signatures
Contracts, engagement letters and forms sent for signature from Odoo, with the signed copy stored on the client record.
Documents in one place
Files organised in folders by client or team, with access limited to the people who should see them.
Approvals
Requests for discounts, payments, purchases or other decisions, with the approver and the date recorded.
Timesheets for billable work
Lawyers and consultants log time against a client matter set up as a project, and approved hours go onto the invoice.
Client portal
Clients log in to see their quotes, invoices, contracts and shared documents, and sign or pay online.

Questions from finance, legal and insurance firms
Can Odoo handle recurring billing for retainers or policies?
Yes. Odoo Subscriptions creates the invoice each period from the contract and can charge saved cards through a connected payment provider.
Can we control who sees which client files?
Yes. Access rights are set per user group, and folders in Documents can be limited to certain teams. We set this up during implementation.
Do we need Odoo Enterprise?
For Subscriptions, Documents, Sign and Approvals, yes. CRM, Invoicing, Project and Timesheets also work in Community. We’ll tell you which edition fits after discovery.
Can clients sign documents online?
Yes, with Odoo Sign. Clients sign in their browser, and the signed copy is stored in Odoo.
Does it work in Arabic?
Yes. Odoo runs in Arabic and English, and invoices and contracts can be printed in either.
